Hey friends ๐
I'm on the hunt for a full-time assistant based in Hong Kong to join my team. This role is split into two main parts: being my executive assistant and my ideas and strategy buddy.
Hours: Full-Time
Location: Hong Kong
Salary: HKD $300k-500k per year (negotiable depending on experience)
Deadline for applications: 29th September 2024
The role is split into 2 main parts: an Executive Assistant, and an Ideas & Strategy Buddy.
Executive Assistant (~70% of the role)
This part of the job involves:
- Managing my personal + business email inbox - triaging, replying to relevant stuff, flagging up urgent things that need my input. I get a lot of fan mail (#flex) and it would be nice to have a system whereby we can reply to most reasonable enquiries. We'd be aiming to get to inbox zero at the end of each working day.
- Scheduling calendar events - ad-hoc meetings, weekly and monthly team meetings, podcast appearances, blocking out time for recurring personal stuff (exercise, writing, coaching etc).
- Travel - Booking business and personal travel, including flights, transport, logistics etc.
- Helping me keep on top of iMessage / WhatsApp messages - ideally each day you'd look through all my personal and work emails and messages, and figure out what we need to do about each of those.

๐จ
Iโm going to be honest: A LOT of this job involves really boring admin - booking flights, responding to emails, finding time on my calendar to do stuff, saying โno thank youโ to various inbound requests, replying to more emails, ringing people up to organise stuff, replying to more emails etc. Iโm looking for the sort of person who reads that list and thinks โHOLY SHIT THIS SOUNDS LIKE MY DREAM! I LOVE ORGANISING AND LOGISTICS AND ADMIN!โ.
If thatโs not your response to this job, please apply for a different job. Iโm desperate for someone in this role who absolutely loves doing (what I find) boring, tedious admin, and who can be 100x more organised than I am, and relishes the prospect of helping me sort my chaotic life out.

Ideas and Strategy Buddy (~30% of the role)
The other half of the job is to be my ideas and strategy buddy. Here's what that looks like:
- Currently, we've got a team of 20 who are busy with all the stuff we're doing right now. But every week, I have a bunch of random ideas (for content, courses, products, and other bits) that I need someone to be able to whip up with me. Some of those ideas are going to be crap, but some of them might be quite good, and we need someone who's a generalist to be able to do the research and help figure out what the great ideas are and what the pointless ones are.
- You'd be working directly with me to create the v0.1 of these new ideas. For example:
- If I have an idea for a new course, I'd ask you to do the market research, figure out if it's a good idea and we draft the very rough outline of the course together. Once we've got something, we'll present it to Gareth (our head of courses) and figure out whether / where it fits into our course production timeline.
- If I have an idea for a new project or product, I'd say to you "Hey X, you know how we made the Essentiali stationary line? I reckon it would be cool if we designed our own mechanical keyboard. Can you do some digging to figure out how we'd go about doing this please?" And you'd do the research and present something back to me and we can discuss it and see if it's feasible / how we'd go about it.
- The actual execution of the ideas we come up with would be done by the team (who are amazing at executing on stuff), but you and I'd work together to whip up the idea into a presentable fashion that then the team can take ownership of and make happen. That's the theory anyway.
